Find the right companies. Write to them like a person.

We build systems that research the companies worth contacting and draft a first message for each. Your team approves every message before it is sent, through the channels each market allows. Every reply lands in your CRM.

01Before and after

The same sales week, better spent.

Before: Prospect lists come from old spreadsheets and bought databases, and nobody knows how current they are.
After: Each week's list is built from public sources, with a link behind every company and every claim.
Before: Every contact gets the same template, with only the first name changed.
After: Each message refers to something specific about the company, and a person approves it.
Before: Research before a first call takes most of an hour, so it often gets skipped.
After: The rep opens a one-page brief on the account, with every source one click away.
Before: Replies sit in personal inboxes, and the CRM shows deals that went cold weeks ago.
After: Replies are sorted and logged against the right CRM record as they arrive.
Before: Opt-out requests are handled by whoever happens to read them.
After: An opt-out is recorded once and respected on every channel, by every rep.
02What we build

From research to reply.

Each part works on its own, so you can start with research and add outreach once the briefs prove useful.

  • Customer profile and target lists

We write down who your best customers are and why they buy. The system then searches business registries, company websites, job ads and tender notices for companies that match. Existing customers and opt-outs are left off.

  • Account briefs

Each brief fits on one page: what the company does, what has changed recently and why it might need you now. It draws on public sources and your CRM history, and every point links to its source.

  • Drafts a person approves

Messages are drafted from the brief, in your tone, for the channel set for that market. A named person edits and approves each one, and the system records who approved it.

  • Channel rules per market

Rules for commercial email and calls differ between Poland, other EU countries and the UK. Before anything is sent, we agree with you, on legal advice where needed, which channels each market allows and how opt-outs work.

  • Replies and CRM logging

Replies are sorted (interested, not now, wrong person, opt-out) and logged against the right CRM record. An opt-out is applied to every list and channel as soon as it is logged.

  • Enquiries and quote follow-ups

Website enquiries are researched and routed to the right rep with a drafted reply. Quotes with no answer come back to their owner with a follow-up that refers to what was offered.

03Workflows

Three ways it feeds the pipeline.

Three workflows for a firm that sells to other businesses, each with the sums shown.

  1. Example scenario

A weekly shortlist of companies worth contacting

Every Monday at 06:00, before the sales team starts the week.

    1. The system searches registries, company websites, job ads and tenders for companies that fit your profile.
    2. It removes current customers, open deals and anyone on your opt-out list, using your CRM.
    3. For each company left, it writes a one-page brief with a reason to get in touch and its sources.
    4. Your sales manager approves the ones worth contacting. Rejections, with a reason, shape next week's search.

A shortlist of 30 researched companies every Monday, each with a brief and its sources. Research time drops from 10 hours to 2.

Assumes 30 companies a week and 20 minutes to research each by hand: 10 hours. Reviewing 30 briefs at 4 minutes each takes 2 hours.

  2. Example scenario

A first message written from the research

The sales manager approves a company from the shortlist and picks the role to contact.

    1. The system drafts a short message in your tone that refers to the reason in the brief.
    2. It checks the contact against your opt-out list and the channel rules agreed for that market.
    3. The rep edits the draft and approves it. Nothing is sent without a named approver.
    4. Replies are sorted, logged against the CRM record and passed to the rep with a suggested answer.

Your team reviews 30 specific messages a week in about 90 minutes. Every one is approved by a person and tracked in the CRM.

Assumes 30 messages a week, 12 minutes to write each by hand and 3 to review a draft. That is 6 hours down to 90 minutes.

  3. Example scenario

Quotes that went quiet, followed up

A quote has had no reply for 10 working days.

    1. The system reads the quote and the email thread and notes what the customer asked about.
    2. It drafts a short follow-up that answers the open question or suggests a next step.
    3. The quote's owner edits and sends it, or closes the deal as lost with a reason.
    4. The CRM is updated with the outcome, so the pipeline report shows which deals are still alive.

Every open quote gets a specific follow-up after 10 working days of silence, and the pipeline report stays honest.

Assumes 40 unanswered quotes a month and 9 minutes to reread the thread and write each follow-up by hand: 6 hours. Reviewing 40 drafts at 3 minutes each takes 2 hours.

06Questions

Before you send anything.

How is this different from the sales emails we all delete?

Those are written for a list. Ours start with research on one company and say something specific about it. Volumes stay small on purpose. A person approves every message, and anyone who opts out is removed from every list.

Is this kind of outreach allowed in Poland and the UK?

The rules differ by country and by channel. Before anything is sent, we check what each target market allows and agree the approach with you in writing. Where a channel needs prior consent, we use it only with consent. For a formal opinion on your case, ask your own lawyer.

Can you guarantee a number of replies or meetings?

No. Replies depend on your offer, your market and timing, so we don't promise rates. We measure what we control, such as research hours saved, and log every reply and meeting in your CRM. On selected projects we can link part of our fee to an outcome agreed at the start.

Who approves the messages, and who sends them?

A named person on your side approves every message before it goes out. It is sent from your company's domain, so replies reach your team and the relationship stays with you. The system records who approved each message and when.

Can you automate our LinkedIn messages?

No. We use LinkedIn for research, and a person writes and sends any message there by hand. The system can suggest a draft. We don't run automation on anyone's LinkedIn account.

What data about people do you collect?

As little as the job needs. We research companies first, then add only the business contact details needed to reach the right role. Every record notes where its data came from, and anyone who asks is removed and kept off future lists. See how we handle data.

Start with the customers you want more of.

In the audit we study how you win customers today, check what your target markets allow and propose a pilot on one segment.
